Overview of the Job Management menu options

Overview:

The Job Management menu options are shown below.

From here, we can create and manage Quotes, Jobs and Invoices. Each are described in detail, in their own dedicated article. This overview presents a summary of the job management process and what to expect.

Generally, you may begin with a Quote, which you prepare with 'content' and then send it to your Customer. Once accepted, you 'Convert' the Quote to a Job, add a schedule and order products. When the Job is completed, you 'Convert' it to an Invoice and send it to your Customer and to your Accounting app (when integrated).

However, this sequential process is not always necessary and you can start anywhere. For example, on a 'Do and Charge' job, whilst you may be on-site, you could start by creating an Invoice, potentially order products and on completion of the work, send the Invoice to your Customer and to your Accounting app (when integrated).

The structure and workflows are mostly the same across Quotes, Jobs and Invoices, with a few differences as described below:

  • Quotes are the baseline functionality, everything is also in Jobs and Invoices

  • Jobs are like Quotes plus you can Order and there are two additional tabs; Schedule & Timesheet and Purchase Orders (POs)

  • Invoices are like Quotes plus you can Order and send Invoices to accounting apps (when integrated)

List View:

On selection of either a Quote, Job or Invoice, a List view is first presented with column headers containing useful high-level information and options to manage the list of records. Extracts of each are shown below:

Detail View:

On selection of any row within the List views mentioned above, the next-level Detail View of that particular Quote, Job or Invoice is presented. In this example, the detail view of a quote is shown below:

Within the Detail View the 'content' that you include forms the basis of what is eventually sent to your Customer as a Quote or Invoice, together with supporting information extracted from Settings and Customers.

There is also a bottom menu with the following key buttons:

  • 'Options' can be used to send a Quote or Invoice to your customer

  • 'Convert' can be used to convert a Quote to a Job or Invoice
